Post-deadline papers can be submitted from July 15 to September 7, 2010.
Post-deadline submission procedure is the same as regular paper submission: see instructions below. Paper template is also the same and can be downloaded from the section "ECOC 2010 Paper preparation guidelines".
In order to be accepted for selection, each paper must be accompanied by at least a valid registration to the conference made within September 8.
Post-deadline paper selection will take place in Turin on Sunday 19 September, during the first day of ECOC 2010, and results will be available on Monday 20th September in the Conference Registration Hall.
General Policies and Requirements for Paper Submission
- All submitted paper must be original work.
- All papers will be peer reviewed by the Technical Programme Committee, which reserves the right to accept or reject any submitted paper. Paper presentation will be either oral or poster depending on Technical Programme Committee decisions.
- Presenting authors of accepted papers will be required to register for the conference in order for their paper to be included in the conference proceedings.
- Papers are to be submitted via the EDAS automatic system (see below).
- Closing date and time for paper submission are: April 15, 2010, 23:00 (11:00 PM) Central European Time (GMT+1).
ECOC 2010 Paper preparation guidelines
Total paper length is 3 pages. Papers exceeding 3 pages will not be considered, regardless of their technical quality. The only language accepted by ECOC is English.
For manuscript preparation, authors may use the ECOC 2010 Paper Template, available both in MS-Word and in Latex formats. All papers must eventually be converted to Portable Document Format (PDF - see detailed instructions below) for submission.
The paper formatting rules are as follows. Non-compliance may result in rejection, regardless of the technical quality.
- The page format must be A4 (21.0 cm × 29.7 cm)
- The paper must be typed using two columns layout with 12-point line spacing
- Margins must be 25 mm to all four sides with 8 mm space between columns
- Do not number pages and do not use footnotes; use superscripts for references
- Use Arial font with 10 pt size, except paper title (16 pt) and Figure/Table captions (9pt)
- All fonts used within figures (axes labels, descriptions, etc.) must appear at least at 7pt in the final figure size and must be high enough resolution to be easily readable when printed
- The abstract is limited to 40 words and must be set in italics
- The paper must contain the full affiliation of all authors as well as the contact details of at least one (corresponding) author
- Figures, tables and equations must have sequential numbering
- Captions must be placed above tables and underneath figures
Reviewers will not view papers in colour. Therefore, all relevant technical information must be clearly readable without colours. Authors must also make sure that their papers print out clearly on standard non-colour printers.
ECOC 2010 Paper Submission Guidelines
The paper submission deadline has been moved to April 15th, 2010, 11:00 PM Central European Time (GMT+1).
Please be advised this is a firm deadline: there will be no further extension
The only accepted electronic file format is the Portable Document Format (PDF). The submitted file must be unprotected.
PDF Creator can be downloaded from: http://www.pdfforge.org/products/pdfcreator. PDF Acrobat Reader can be downloaded from http://www.adobe.com/products/acrobat/readstep2.html.
When submitting their paper, authors will also be asked to submit an electronic IEEE copyright form.
Paper Submission Procedure Using EDAS
Logging in to EDAS
- Using EDAS requires logging in first. If you already have an account, please enter your email address and password in the corresponding fields of the form on the EDAS login page.
- If you do not know whether you have an account on this EDAS system, try entering your email address or name. EDAS will check for your account and let you know whether it knows about you.
- If you have an account but have forgotten your password, leave the password field blank, and EDAS will mail your password to you.
- If you do not have an account on the EDAS system yet, please click on the "New user" link. Fill in the form and then click on the "New User" button. Mandatory fields are marked with a red asterisk. The password for accessing the EDAS system will be sent to you via e-mail. Once you receive your password, you can return to EDAS and log in.
Registering your Paper
- After logging in to EDAS, you will see your overall EDAS system homepage. Find and click on "ECOC 2010" among the list of conferences accepting submissions. To begin the process of submitting your paper, click on the 'submit' icon for ECOC 2010. This will bring you to the ECOC 2010 EDAS homepage.
- You should then see the web form for registering your paper submission.
- Fill in the form:
- Enter the title of the paper. Your paper title should NOT be in all upper-case.
- Check the box "Add yourself as author" if you are indeed an author of the paper. You can add other authors later and you can change the order of authors. Note that you are not allowed to add or delete authors after the submission deadline, to prevent that authors try to defeat the conflict-of-interest detection mechanisms by omitting authors.
- Enter the abstract of the paper (between 10 and 40 words).
- Choose either one of "oral presentation preferred" or "poster presentation preferred".
- Select the topic from the list of paper topics that best classify your paper. It is important that you choose the right topic! Please read carefully the section at the bottom of this page "Regarding Topic Selection".
- Once you have all the information filled in, click on the "Submit" button at the bottom of the page. This will lead to a "paper acknowledgement" page that acknowledges your paper's registration. A confirmation e-mail will be sent to you.
- To add authors, click on "add authors" and follow the step-by-step guided procedure.
- When you are done adding authors, to go back to the "paper acknowledgement" page click on the assigned paper number, next to the paper title.
Uploading your Paper and Transferring Copyright
- After registering your paper submission, you can upload your paper file.
- To upload your paper right after registering your submission, on the "paper acknowledgement" page go to line labelled "Manuscript" and click on the folder icon.
- To submit the Copyright form, on the "paper acknowledgement" page go to line labelled "Copyright form" and click on the "+" icon. You will be transferred to the IEEE Electronic Copyright Form wizard, which will guide you through Copyright Form submission. When you are done, you can download the Copyright form for your records. To complete the procedure just click "return".
- After you return to your ECOC 2010 EDAS homepage, you will see your uploaded paper. If you click on the paper number, you will see the paper details. If you click on the paper under "Manuscript", you will see the PostScript or PDF version that you uploaded.
Revising your Paper or Account
- After you have submitted your paper, you can revise your submission at any time before the submission deadline of 11:00 PM (23:00) CET (GMT+1), April 15, 2010.
- To revise your submission, go to your ECOC 2010 EDAS homepage. You can upload a new PDF version of your paper by clicking on the icon in the line that shows your paper's listing. Please do not register and submit a new version as if it were a separate new paper, since this will duplicate the paper registration records.
- You can also revise your own EDAS account information from your EDAS homepage. To do so, click on the tab at the top to "My profile."
Regarding Topic Selection
It is the authors' responsibility to choose the right topic for their papers. The six available topics correspond to the six Technical Programme Subcommittees of ECOC. (For the CLEO/Europe-EQEC Focus Meeting there are three possible topics). By choosing a topic, authors decide to which specific subcommittee their paper will be sent for evaluation.
Although the Technical Programme Committee will try and re-allocate misdirected papers, this may prove unfeasible given the limited amount of time and the usually large number of submitted papers (about 1,000). As a result, if authors choose the wrong topic and therefore the wrong subcommittee, their paper may be rejected as "not relevant", independently of its technical contents.
